NO SHOW/LATE CANCELLATION 

LATE CANCELLATIONS AND MISSED APPOINTMENTS

Clients are expected to attend scheduled sessions on time, as canceled or delayed appointments can delay work and negatively impact other clients. A minimum of 24 hours' notice is required for rescheduling or canceling an appointment, with a late cancel fee of 50% and a no call/no show fee of 100%. More than 24-hour notice is appreciated to make available time for other clients. If a client knows they won't attend, they should call the office to cancel without earning a fee related charge on their account. The more time available, the better for the therapist and other clients. Thank you for your understanding and cooperation.


Late cancellations or no-shows can negatively impact you, your therapist, and another client who would have used your time slot. Our clients are the only ones who may attend therapy sessions, which are booked in advance. We are unable to provide this time slot to another existing client, a client on the waitlist, or a client with a clinical emergency when a session is canceled without sufficient warning.

WHEN THE NO-SHOW/LATE CANCEL FEE IS WAIVED

This cancellation policy is only waived in the case of an emergency or a serious or communicable sickness. Every six months, we grant one grace for these causes. Car crashes, family fatalities, or severe disease are a few instances of emergencies. Problems at work don't qualify as emergencies. Even if skipping the appointment was an inadvertent mistake, our cancellation policy still stands. Instead of canceling completely and squandering the time slot, think about having one member of a pair come alone if the other cannot. 

FREQUENT CANCELLATIONS OR MISSED APPOINTMENT

Treatment will end if there are three or more cancellations in a six-month period or two in a row, as well as missing appointments (no show). The next recurrent appointment will remain on the calendar if you and your therapist have set up repeated appointments. Therefore, in order to avoid a second No Call/No Show Cancel charge of 100% of the session price or a Late Cancel fee of 50% of the session fee, please notify the office if you decide to cancel that appointment. Since they are time and date marked, a voicemail, email, or text message is adequate. Following the second consecutive No Show/Late Cancel, the recurring appointment will be deleted.


As a convenience, Journey of Wellness Counseling & Consulting, LLC may send you text or email reminders about forthcoming appointments. However, this will only happen if you provide us your email address and phone number and agree to receive such messages. Whether or not you receive the text or email reminder, it is still entirely your responsibility to remember and show up for all therapy appointments on time. It is your duty to notify the office of any changes to your email address or phone number. You won't be allowed to make another appointment and will be sent to another provider after two straight cancellations or no shows.

FEES FOR NO-SHOWS & LATE CANCELLATIONS

No-Call/Show Fees: You will be billed 100% of your session cost if you miss an appointment without providing the required amount of advance notice. This payment will be processed using the credit card information or other payment details you already supplied. You agree to this policy by making an appointment or giving us your payment card information. Therapy will be discontinued after several no-shows.


Late Cancellation Fees: 50% of your session cost will be charged for any missed sessions if you cancel less than 24 hours in advance. Even if you rescheduled the appointment if the cancellation was due to work, you will still be charged. This payment will be processed using the credit card details you already supplied. You agree to this policy by making an appointment or giving us your payment card information. Therapy may be discontinued if there are more than two late cancellations in a row. Therapy will be discontinued after several no-shows.


It is important to remember that insurance companies typically do not pay for missed appointments.

HOW A 24-HOUR NOTICE WORKS

If you fail to show up for an appointment or call without prior warning, you will be charged 100% of the session price. If an appointment is late cancelled and you don't give 24 hours' notice, you will be charged 50% of the session price. This implies that notification must be made by 3:00 pm on Monday at the latest if an appointment is set for a Tuesday at 3:00 pm. Keep in mind that in order for a cancellation to be deemed appropriate 24-hour notice, it must be made by the previous Friday at the latest, if your appointment falls on a Monday.  You can text the office number, contact your therapist, or phone the office to cancel your appointment.

WAIT TIME AND GRACE PERIOD

There is very little waiting time for you. You must come on time for your appointments because of the amount of time allotted for each one. We will have no choice but to reschedule your appointment if you arrive more than ten minutes late, and you will be charged the full cost for a no-show. We demand at least twenty-four (24) hours' notice for late cancellations in order to avoid paying no-show costs. There is a 10-minute grace period for both the client and the therapist.

Therapy should be treated like any other important medical appointment, with consistency being key for personal betterment. If the relationship is terminated, the case can be reopened at any time, but the client may be placed on a waiting list if there are other clients waiting for their time slot, as this is standard practice with most therapy agencies and private practice offices.
